PROBLEM STATEMENT
SALES MANAGEMENT SYSTEM is very complicated tasks if performed manually.
If sales are managed manually it will really become a difficulty in obtaining the previous
record or updating of the latest record in an organized manner. It is a lengthy process if
performed on pen and paper. Due to the increase in sales they are finding it difficult to
manage the large amount of transactions which are causing discrepancies in the data.
NEED FOR THE SYSTEM

 No central data update
 Limited accessibility to user
 Managing of the bulk data
SOLUTION
SALES MANAGEMENT SYSTEM has been designed to computerize following functions
that are performed by the system:
 Easy maintenance of the record
 Easy data retrieval, updating and deletion process
 Modifying the detail and functionalities by the admin
To solve the problems,the above solutionsare given.Toapplythe solution,the userneedsto
maintaina salesmanagementsysteminthe computerwhichwill be usedtosimplyupdate the
record ina tabularmannerand retrieve the datawithhelpof the inputsprovidedbythe person.

CHAPTER 1: INTRODUCTION
During the past several decades’ personnel function has been transformed from a relatively
obscure record keeping staff to top level and management functions. There are many factors
that have influenced this transformation like technological advances, professionalism and
general recognition of human being as most important resource.
 A computer based management system is designed to handle all primarily information
required to calculate monthly statement.
 Separate database is maintained to handle all the details required for the correct
statements calculations and generation.
 This project intends to introduce for user friendliness in various activities like
updating, maintenance and searching.
 The searching of record has been made quite simple as all the details of the customer
can be obtained just by simply keying in the identification of that customer.
 The entire information has been maintained in databases or files and whoever wants
to retrieve the information cannot retrieve, only authorized users have retrieve the
required information
 Similarly record maintenance and updating can easily accomplished by using
identification of the customer with all the details generated automatically.
PURPOSE
The report will provide a detailed description of the requirements for the Sales Management
System (SMS). This report will allow for a complete understanding of what is to be expected
from the newly introduced system which is constructed. The clear understanding of the
system and its’ functionality will allow for the correct accessibility to the software developed
for the end user and will be used for the development of the future stages of the project. This
report will provide the details for the project. From this report, the Sales Management System
can be modified, updated, re-constructed, and tested.
SCOPE
The introducing software, Sales Management System which is going to be implemented for
the organization will automate the major operations of the management. The Sales System is
to keep track of the sales of the items sold and check availability. The Sales Management
System is for manage all sale types and the services provided.

The System will keep track in all inventories of the sales and details will be handled by the
management. Administration department will monitor them all. There are three End Users for
SMS. The End Users are Owner, Manager and Management. Owner can access to all system
functionalities without any restrictions. Manager can access to all system functionalities with
limited restrictions. Management can only access to the few sections of the system. To keep
restrictions for each End User levels SMS can create different Login functions.
Following are few points:
 Registration of new client and authentication of existing client.
 Provide a user friendly interface to the user to work with application
 Add new goods and manage the entire item
 Generation of reports related to all the store problems

CHAPTER 2: GENERAL DESCRIPTION
PRODUCT PERSPECTIVE
The Sales Management System is a new self-contained software product which will be
produced in order to overcome the problems that have occurred due to the current manual
system. The newly introduced system will provide an easy access to the system and it will
contain user friendly functions with attractive interfaces. The system will give better options
for the problem of handling large scale of physical file system, for the errors occurring in
calculations and all the other required tasks that has been specified by the client. The final
outcome of this project will increase the efficiency of almost all the tasks done at the
Management in a much convenient manner.

 A minimum computer system that will help you access the entire tool in the
course is a Pentium 166 or a higher capability CPU
 128 Megabytes of RAM or Higher
SOFTWARE REQUIREMENTS
The computer this software going to be install need to have Windows Operating System
equal or above, Windows 7 Star UML.
COMMUNICATION INTERFACE
This software does not require any internet or broadband connection. But to update the file
anywhere on the drive internet connection will be required.

CHAPTER 4: FUNCTIONAL REQUIREMENTS

 Add contacts details information of new User to the System, indicating the
exclusive privileges of them
 Add new item/categories to the inventory
 Change the price of an item

 Search for a particular item by typing the initial letters or by category-wise
 Inform the inventory manager about the items that are not available, so that
they can be stocked
 Inform the sales manager about any exceptions.
 Get help about the system on how to use the different features of the system.

INVENTORY MANAGEMENT FUNCTIONALITIES
 Check the status of the inventory
 See the reports from sales people about item that are not available and need to
be kept in the inventory
 Validate the sales against the sales done in the previous day
 Generate sales reports of the items category-wise, price-wise
 Generate sales-trends
SALES MANAGER FUNCTIONALITIES
 Check how many bills have been generated in the day so far
 Check how much money is transacted in the day so far
 Check how many items have been returned so far in the day
 Check for any exception reports from the sales persons and correct it by
contacting the inventory manager
 Generate sales-trend graphs for each of the item
