INVENTORY MANAGEMENT SYSTEM
System Analysis refers into the process of examining a situation with the intent of improving it
through better procedures and methods. System Analysis is the process of planning a new
System to either replace or complement an existing system. But before planning is done the old
system must be thoroughly understood and the requirements determined. System Analysis is
therefore, the process of gathering and interpreting facts, diagnosing problems and using the
information to re-comment improvements in the system. Or in order words, system Analysis
means a detailed explanation or description. Before computerized a system under consideration,
it has to be analyzed. We need to study how it functions currently, what are the problems, and
what are the requirements that the proposed system should meet.
INTRODUCTION
Inventory management system is a computer-based system for tracking inventory levels,
orders, sales and deliveries. It can also be used in the manufacturing industry to create a work
order, bill of materials and other production-related documents. Companies use inventory
management software to avoid product overstock and outages. It is a tool for organizing
inventory data that before was generally stored in hard-copy form or in spreadsheets.
EXISTING SYSTEM
The existing system is currently saving record (property, staff, customer, and seller) manually on
registers, notebooks etc. Seller and customer record is saved via the visit to the office. If
customer/seller wants to update the details of his property, he should contact the agent or visit
office. If customer/seller gives any updated details regarding his property then agent have to
change all the details on every record keeping register.
EXISTING SYSTEM ANALYSIS
This manual record keeping of property, staff and customers are time-consuming. There is a lot
of duplication and common errors are faced while entering and updating property data, making it
inconsistent and unavailable at times for future use. In addition, to this, the retrieval of the
information is the slow and boring task to perform. The security of data is also a concern as it is
placed in cabinets that could be accessed by others.
PROPOSED SYSTEM
The software is used to track products and parts as they are transported from a vendor to a
warehouse, between warehouses, and finally to a retail location or directly to a customer.
Inventory management software is used for a variety of purposes, including:
 Maintaining a balance between too much and too little inventory.
 Tracking inventory as it is transported between locations.
 Receiving items into a warehouse or other location.
 Picking, packing and shipping items from a warehouse.
 Keeping track of product sales and inventory levels.
 Avoiding missing out on sales due to out-of-stock situations.
OBJECTIVES
The main objective of inventory management is to maintain inventory at appropriate level to
avoid excessive or shortage of inventory because both the cases are undesirable for business.
Thus, management is faced with the following conflicting objectives:
1. To keep inventory at sufficiently high level to perform production and sales activities
smoothly.
2. To minimize investment in inventory at minimum level to maximize profitability.
PURPOSE
Inventory Management System must be designed to meet the dictates of market place and support
the company’s Strategic Plan. The many changes in the market demand, new opportunities due to
worldwide marketing, global sourcing of materials and new manufacturing technology means
many companies need to change their Inventory Management approach and change the process.
Inventory Management system provides information to efficiently manage the flow of materials,
effectively utilize people and equipment, coordinate internal activities and communicate with
customers. Inventory Management does not make decisions or manage operations; they provide
the information to managers who make more accurate and timely decisions to manage their
operations.
SCOPE
Scope may refer to different aspects of how inventory counts are conducted or to the way
inventory information is used. A manufacturer of durable goods may use inventory information
to control the costs of raw materials and to maximize margins, while a food manufacturer may
prioritize fast turnover of inventory to ensure freshness. The importance of inventory counts in
those examples may require staff dedicated to inventory management, while a small cleaning
business may not need more than an occasional scan of its cleaning supplies inventory to
function efficiently.
MODULES OF THE PROJECT
Inventory Management System is divided into following modules:
1. Enquiry Module: The Enquirer generated may be modified or cancelled during enquiry
amendment. Seller details and required date are allowed to modify during the enquiry
amendments.
2. Quotation Module: Quotations received are recorded into the system. On entering the
enquiry number, the Seller details appear on the screen and the system accepts the
quotation details such as opening date, price basis.
3. Purchase Order Module: The entire information will be stored in the purchase order
master file and in the detail file.
4. Sales Module: The Sales module gives you quick links to various aspects of this system
manager related to taking and processing customer orders.
5. Transaction Module: It is from this table that the inventory quantities finally get updated
and serial/lot numbers get updated.
GOAL
The goals accomplished in designing/developing of the system are:
1. User Friendliness: The system has totally user-friendly sense as user only has to punch
the data & almost everywhere whenever required messages are being displayed in the
package.
2. Duplicity: As data is entered in different modules, consideration is made so that no
duplicate entry exists in the system.
3. Security: A high level security at different level has been incorporated into the system on
the basis of user requirements.
4. Fast: As far as possible slow responses are avoided and thus the system is fast enough.
The main goal of the project is to maintain the office without hassles. There are n number of
enquires will be there in an office every day to manage all these enquires integrated system is
very essential this gap is filled by this software.
SYSTEM REQUIREMENTS & SPECIFICATION
Hardware Requirements:
Computer processor : Pentium 4(min)
Hard Disk : 25GB (min)
RAM : 512 MB (min) more
Software Requirements:
Operating System : WINDOWS 7 or above
Language used (Front End) : VB.net
Database (Back End) : MICROSOFT SQL SERVER 2008
Input Requirements:
Mouse : Optical mouse with 800 dpi/laser mouse
Keyboard : Standard 102 keys QWERTY keyboard
FEASIBILITY STUDY
All projects are feasible given unlimited resources and infinite time. Unfortunately the
development of computer-based system in many cases is more likely to be plagued by scarcity of
resources and delivery date. Hence, we have made use the concept of reusability that is what
Object Oriented Programming (OOPS) is all about. The feasibility report of the project holds the
advantages and flexibility of the project. This is divided into three sections:
1. Economical Feasibility
2. Technical Feasibility
3. Behavioral Feasibility
1. Economic Feasibility:-
Economic analysis is the most frequently used method for evaluating the
effectiveness of the candidate system. More commonly known as cost/benefit
analysis, the procedure is to be determining the benefits and savings that are expected
from a candidate and compare them with costs. If benefits outweigh costs, then the
decision is made to design and implement the system.
A systems financial benefit must exceed the cost of developing that system. I.e. a new
system being developed should be a good investment for the organization. Economic
feasibility considers the following
i. The cost to conduct a full system investigation
ii. The cost of hardware and software for the class of application.
iii. The benefits in the form of reduced cost or fewer costly errors
iv. The cost if nothing changes.
2. Technical Feasibility:-
Technical feasibility centers around the existing computer system (Hardware and
Software etc) and to what extend it support the proposed addition. For example, if the
current computer is operating at 80 percent capacity - an arbitrary ceiling - then
running another application could overload the system or require additional
Hardware. This involves financial considerations to accommodate technical
enhancements. If the budgets are a serious constraint, then the project is judged not
feasible. In this project, all the necessary cautions have been taken care to make it
technically feasible. Using a key the display of text/object is very fast. Also, the tools,
operating system and programming language used in this localization process is
compatible with the existing one.
3. Behavioral Feasibility:-
People are inherently resistant to change, and computers have been known to
facilitate change. An estimate should be made of how strong a reaction the user staff
is likely to have toward the development of a computerized system. Therefore it is
understandable that the introduction of a candidate system requires special efforts to
educate and train the staff. The software that is being developed is user friendly and
easy to learn. In this way, the developed software is truly efficient and can work on
any circumstances, tradition, locales.
OVERVIEW OF VB.NET
(As a Front-End Tool)-
Visual Basic .NET (VB.NET) is an object-oriented computer programming language that can be
viewed as an evolution of the classic Visual Basic (VB) which is implemented on the .NET
Framework. Microsoft currently supplies two major implementations of Visual Basic: Microsoft
Visual Studio, which is commercial software and Microsoft Visual Studio Express, which is free
of charge.
Some features of VB.NET
1. Full support for object oriented programming.
2. Structured error handling capabilities.
3. Access to .NET Framework.
4. Powerful unified Integrated Development Environment (IDE).
5. Inherent support for XML & Web Services.
6. Better windows applications with Windows Forms.
OVERVIEW OF MICROSOFT SQL SERVER-2008
(As a Back-End Tool)-
MICROSOFT SQL Server is an integrated environment for accessing, configuring, managing,
and administering all components of SQL Server.
Some features of MICROSOFT SQL SERVER-2008
1. SQL Server 2008 Reporting Services provides process components, tools, and
programming interfaces for developing, managing, and using rich reports.
2. SQL Server 2008 Integration Services (SSIS) provides complete SSIS package creation
and management tools such as SSIS Designer, Query Builder, Expression Builder, and
several command prompt utilities.
CONCLUSION
Inventory management system is an effective and easy-to-use tool. It is a quick response
application that can store each detail of every transaction. This will help study non-payments and
full-payments of rent, and maintains a detailed report of rent receipts and invoices.
A proper project development cycle must be followed for successful and timely
completion of the project. The product must be thoroughly tested and according to the user’s
requirements all the functional and Nonfunctional requirements of the system must be taken into
consideration.
There is always space for improving in any software package, however good and
efficient it may be. But the important thing is that the system should be flexible enough for
future modification/ alteration whenever it is required.

  • 2. INVENTORY MANAGEMENT SYSTEM System Analysis refers into the process of examining a situation with the intent of improving it through better procedures and methods. System Analysis is the process of planning a new System to either replace or complement an existing system. But before planning is done the old system must be thoroughly understood and the requirements determined. System Analysis is therefore, the process of gathering and interpreting facts, diagnosing problems and using the information to re-comment improvements in the system. Or in order words, system Analysis means a detailed explanation or description. Before computerized a system under consideration, it has to be analyzed. We need to study how it functions currently, what are the problems, and what are the requirements that the proposed system should meet. INTRODUCTION Inventory management system is a computer-based system for tracking inventory levels, orders, sales and deliveries. It can also be used in the manufacturing industry to create a work order, bill of materials and other production-related documents. Companies use inventory management software to avoid product overstock and outages. It is a tool for organizing inventory data that before was generally stored in hard-copy form or in spreadsheets. EXISTING SYSTEM The existing system is currently saving record (property, staff, customer, and seller) manually on registers, notebooks etc. Seller and customer record is saved via the visit to the office. If customer/seller wants to update the details of his property, he should contact the agent or visit office. If customer/seller gives any updated details regarding his property then agent have to change all the details on every record keeping register. EXISTING SYSTEM ANALYSIS This manual record keeping of property, staff and customers are time-consuming. There is a lot of duplication and common errors are faced while entering and updating property data, making it inconsistent and unavailable at times for future use. In addition, to this, the retrieval of the
  • 3. information is the slow and boring task to perform. The security of data is also a concern as it is placed in cabinets that could be accessed by others. PROPOSED SYSTEM The software is used to track products and parts as they are transported from a vendor to a warehouse, between warehouses, and finally to a retail location or directly to a customer. Inventory management software is used for a variety of purposes, including:  Maintaining a balance between too much and too little inventory.  Tracking inventory as it is transported between locations.  Receiving items into a warehouse or other location.  Picking, packing and shipping items from a warehouse.  Keeping track of product sales and inventory levels.  Avoiding missing out on sales due to out-of-stock situations. OBJECTIVES The main objective of inventory management is to maintain inventory at appropriate level to avoid excessive or shortage of inventory because both the cases are undesirable for business. Thus, management is faced with the following conflicting objectives: 1. To keep inventory at sufficiently high level to perform production and sales activities smoothly. 2. To minimize investment in inventory at minimum level to maximize profitability. PURPOSE Inventory Management System must be designed to meet the dictates of market place and support the company’s Strategic Plan. The many changes in the market demand, new opportunities due to
  • 4. worldwide marketing, global sourcing of materials and new manufacturing technology means many companies need to change their Inventory Management approach and change the process. Inventory Management system provides information to efficiently manage the flow of materials, effectively utilize people and equipment, coordinate internal activities and communicate with customers. Inventory Management does not make decisions or manage operations; they provide the information to managers who make more accurate and timely decisions to manage their operations. SCOPE Scope may refer to different aspects of how inventory counts are conducted or to the way inventory information is used. A manufacturer of durable goods may use inventory information to control the costs of raw materials and to maximize margins, while a food manufacturer may prioritize fast turnover of inventory to ensure freshness. The importance of inventory counts in those examples may require staff dedicated to inventory management, while a small cleaning business may not need more than an occasional scan of its cleaning supplies inventory to function efficiently. MODULES OF THE PROJECT Inventory Management System is divided into following modules: 1. Enquiry Module: The Enquirer generated may be modified or cancelled during enquiry amendment. Seller details and required date are allowed to modify during the enquiry amendments. 2. Quotation Module: Quotations received are recorded into the system. On entering the enquiry number, the Seller details appear on the screen and the system accepts the quotation details such as opening date, price basis. 3. Purchase Order Module: The entire information will be stored in the purchase order master file and in the detail file. 4. Sales Module: The Sales module gives you quick links to various aspects of this system manager related to taking and processing customer orders.
  • 5. 5. Transaction Module: It is from this table that the inventory quantities finally get updated and serial/lot numbers get updated. GOAL The goals accomplished in designing/developing of the system are: 1. User Friendliness: The system has totally user-friendly sense as user only has to punch the data & almost everywhere whenever required messages are being displayed in the package. 2. Duplicity: As data is entered in different modules, consideration is made so that no duplicate entry exists in the system. 3. Security: A high level security at different level has been incorporated into the system on the basis of user requirements. 4. Fast: As far as possible slow responses are avoided and thus the system is fast enough. The main goal of the project is to maintain the office without hassles. There are n number of enquires will be there in an office every day to manage all these enquires integrated system is very essential this gap is filled by this software. SYSTEM REQUIREMENTS & SPECIFICATION Hardware Requirements: Computer processor : Pentium 4(min) Hard Disk : 25GB (min) RAM : 512 MB (min) more Software Requirements: Operating System : WINDOWS 7 or above Language used (Front End) : VB.net Database (Back End) : MICROSOFT SQL SERVER 2008

Input Requirements: Mouse : Optical mouse with 800 dpi/laser mouse Keyboard : Standard 102 keys QWERTY keyboard FEASIBILITY STUDY All projects are feasible given unlimited resources and infinite time. Unfortunately the development of computer-based system in many cases is more likely to be plagued by scarcity of resources and delivery date. Hence, we have made use the concept of reusability that is what Object Oriented Programming (OOPS) is all about. The feasibility report of the project holds the advantages and flexibility of the project. This is divided into three sections: 1. Economical Feasibility 2. Technical Feasibility 3. Behavioral Feasibility 1. Economic Feasibility:- Economic analysis is the most frequently used method for evaluating the effectiveness of the candidate system. More commonly known as cost/benefit analysis, the procedure is to be determining the benefits and savings that are expected from a candidate and compare them with costs. If benefits outweigh costs, then the decision is made to design and implement the system. A systems financial benefit must exceed the cost of developing that system. I.e. a new system being developed should be a good investment for the organization. Economic feasibility considers the following i. The cost to conduct a full system investigation ii. The cost of hardware and software for the class of application. iii. The benefits in the form of reduced cost or fewer costly errors iv. The cost if nothing changes. 2. Technical Feasibility:- Technical feasibility centers around the existing computer system (Hardware and Software etc) and to what extend it support the proposed addition. For example, if the current computer is operating at 80 percent capacity - an arbitrary ceiling - then running another application could overload the system or require additional Hardware. This involves financial considerations to accommodate technical
  • 7. enhancements. If the budgets are a serious constraint, then the project is judged not feasible. In this project, all the necessary cautions have been taken care to make it technically feasible. Using a key the display of text/object is very fast. Also, the tools, operating system and programming language used in this localization process is compatible with the existing one. 3. Behavioral Feasibility:- People are inherently resistant to change, and computers have been known to facilitate change. An estimate should be made of how strong a reaction the user staff is likely to have toward the development of a computerized system. Therefore it is understandable that the introduction of a candidate system requires special efforts to educate and train the staff. The software that is being developed is user friendly and easy to learn. In this way, the developed software is truly efficient and can work on any circumstances, tradition, locales. OVERVIEW OF VB.NET (As a Front-End Tool)- Visual Basic .NET (VB.NET) is an object-oriented computer programming language that can be viewed as an evolution of the classic Visual Basic (VB) which is implemented on the .NET Framework. Microsoft currently supplies two major implementations of Visual Basic: Microsoft Visual Studio, which is commercial software and Microsoft Visual Studio Express, which is free of charge. Some features of VB.NET 1. Full support for object oriented programming. 2. Structured error handling capabilities. 3. Access to .NET Framework. 4. Powerful unified Integrated Development Environment (IDE).
  • 8. 5. Inherent support for XML & Web Services. 6. Better windows applications with Windows Forms. OVERVIEW OF MICROSOFT SQL SERVER-2008 (As a Back-End Tool)- MICROSOFT SQL Server is an integrated environment for accessing, configuring, managing, and administering all components of SQL Server. Some features of MICROSOFT SQL SERVER-2008 1. SQL Server 2008 Reporting Services provides process components, tools, and programming interfaces for developing, managing, and using rich reports. 2. SQL Server 2008 Integration Services (SSIS) provides complete SSIS package creation and management tools such as SSIS Designer, Query Builder, Expression Builder, and several command prompt utilities. CONCLUSION Inventory management system is an effective and easy-to-use tool. It is a quick response application that can store each detail of every transaction. This will help study non-payments and full-payments of rent, and maintains a detailed report of rent receipts and invoices. A proper project development cycle must be followed for successful and timely completion of the project. The product must be thoroughly tested and according to the user’s requirements all the functional and Nonfunctional requirements of the system must be taken into consideration. There is always space for improving in any software package, however good and efficient it may be. But the important thing is that the system should be flexible enough for future modification/ alteration whenever it is required.
