Introduction
Today the business and services environment is becoming very complex and
competitive. Besides the availability of modern technology, highly qualified and well-
trained staff, without an efficient management system, organizations cannot function
efficiently. Almost all the blood banks use the manual system because there is no
centralized management system to support their day to day activities. The objective of
this project is to provide solution based on ICT to improve efficiency of manual based
systems and to eliminate the paper work.
Business Background
Blood banks use the manual way to record data of its donors, acceptors, details of
blood etc. without knowing the fact that the data that is collected at the blood banks can
be used for many research purposes, and can be analyzed in different ways. For
example when a person comes to donate blood he has to go through many tests and
the result of the tests can be used to determine different patterns. The manual system
itself is time consuming and prone to human errors therefore it has less accuracy. It
requires lots of man power, lacks data security and retrieval of data is time consuming.
Strategy
Many strategies can be used for successful implementation of this system. Firstly, we
have to move all the data from papers to the centralized servers so that information
retrieval becomes easier and we don’t lose our previous data and make high quality
system through which we can make our process work in more efficient way.
Objectives
Our main object is to create a centralized system for blood banks which makes:
 Collecting and storing data easier.
 Upgrade the system as per new technology.
 Digitize the system for easy usage.
 Keep a check on inventory of blood.
 Monitor the achievement. .

Vision
The vision is the mission or goals that an organization wants to achieve. For a blood
bank the mission would be:
 Responding to customer’s queries.
 Improving ourselves in this competitive world..
 Building trust among the customers.
 Every individual must be valued equally in the work environment without any
partiality
 Deliver all the services on time as in this system time is very crucial.
Infrastructure
To implement the system I would use developer’s account of sales force. Through that I
will be able to manage all the communications with the donors, the hospitals and people
in emergency. If this system runs well next step would be analysis of the data collected.
Implementation
Implementation of this project will take careful analysis of all the attributes and entities in
our system and how they can be linked to each other. How the process will flow through
different entities will be a crucial task too.
Also we have to perform the SWOT analysis for our system to know the strengths,
weaknesses, opportunities and threats and how external and internal forces can
influence our system.
After the SWOT analysis we will make the E-R diagram then the class diagram which
will visually represent our proposed system in a better way.

Objects required are:
Branch {b_id, b_name, b_address, b_contact, b_email}
Donor {s_id, d_name, d_email, d_address, d_contact, bloodgroup}
Blood{bl_id, bloodgroup, blood_amount, blood_quantity}
Blood request{r_id, r_name, hospital, bloodgroup, r_contact, delivery_status}
Employees{e_id, e_name, e_role, e_contact, e_email, e_address, e_salary}

Class Diagram
Reporting and analysis
The reporting and analysis reports will be generated in the dashboard section in the
sales force. On the basis of those reports we will be able to make analysis.

IMPLEMENTATION:
This is the Part B of the report, in Part A I have discussed about the requirements of the
Blood Bank Management System and also the design of the system. In this part I will
discuss the implementation of that system. The aim was to make the centralized system
of the Blood Bank for the easy maintenance utilization and analysis of information.
PROCESS CONTROL DIAGRAM:
This is a process control diagram or schema which is made by salesforce to show the
relationship between employee, branch, request blood, donor and blood group. Red join
shows Master-Detail Relationship and blue join shows the lookup relationship between
objects.

OBJECTS:
In my application I have used all these objects out of which Employees, Branches,
Donor Details, Blood Groups, Request Bloods are custom objects and Reports and
dashboards are standard objects. Forms for the custom objects are as follows:
Employee
This is the form to register new employee into the system. In this the age of the
employee is calculated using the Date of Birth provided by employee. I have also
uploaded some data using the data import wizard.

Donor Details
This object contains the details of the donors that are registered in the Blood Bank.
Validation Rules
In this the age of the donor cannot be less than 18 to donate blood. This validation will
not allow the user, with age less than 18 years, to register further.

This is the data that I have added to Donor Detail object.
Workflow Rules:
1) I have created a workflow in which whenever a new donor is registered he will
get a welcome email describing his details.

Email Template:
2) I have added a workflow that if the blood stays for more than 30 days it will show
reminder of expiry.

3) This workflow on Donor detail object states that if it’s been three months, the
donor last donated blood, an automated email will be sent to the email id saying
that they are invited to donate blood again. It will trigger after 90 days of the time
of donating.

Branch
This object contains the branches of blood bank that are linked to the centeralized
systems.
This is a few data that I have added to this object.
Blood Request
This is another object through which anybody can make the request of blood from the
blood bank by entering few details.

Workflow rules:
1) In this rule whenever the blood is requested the staff member will receive a mail
and a Task will be added.
Email Template:

Task:
In this we can see that when a person requested for A+ Blood group the blood request
got added to the task list of the blood which can also be seen by the administrator apart
from email notification.
Blood Group
This is another object which manages the inventory of the blood. This is a few data
which I have added to this object.

In the blood group details we can see that in a particular branch what is the quantity of
the blood what is the inventory cost of that and who all are the donors of that blood.
Workflow Rule:
In this object I have created a workflow which updates the blood stock quantity
whenever the blood request is made.

Reports and dashboards:
Salesforce allows us to make different types of reports and dashboards and perform
analysis on the data that we have added in our applications.
In this report we can see the blood requests that have been made. This shows that
maximum people demand for O+ blood group than any other blood group. The next
most requested blood group is A+ and AB+.

This report shows total amount of blood which each blood bank has.

In the dashboard we can see many things in one view. It is easy for an analyst to
analyse lots of information by taking a single glance at this dashboard. We can see that
total number of requests that has been made are 8 out of which maximum requests are
for blood group O+.
Also we can see that in Branch #2 we have maximum inventor of blood than any other
branch
In third we can see that total number of employees id 37 out of which 20 are Male and
17 are Female.
In fourth we can see the number of employees in each branch and what is the gender of
them.
In the similar way we can analyze many other information.
Future work:
For the future work I would like to make visualforce pages for the forms and deploy this
application online so that it can be accessible to anyone globally. And increase the
scope of the applications by adding more branches to it.

Conclusion:
In this project I tried to implement the Centralized Blood Bank Management System.
This project is built on salesforce and can serve many advantages to the organisation.
As everything is centralized we can combine many objects in order to perform effective
analysis. Effective analysis of data can help a lot in medical field as many other objects
and fields can be added to this system for the different blood groups.
