The 5 Steps to Getting Things Done
● Capture
● Process
● Organize
● Reflect
● Engage

Capture
● Capture everything that you need to track, remember, or act on
in a “bucket”.
● Anything potentially meaningful (emails, letters, calls, action
items, ideas, tasks).
● Get everything out of your head and into your collection device ,
to be processed.
● Buckets should be emptied once a week (i.e week in review).

Process
● What are you going to do with this information?
● Is it actionable? (Yes/No)
● If yes, can you do it in less than 2 minutes?
○ Yes? Do it.
○ No? Move to an action list, calendar (if time specific), follow-up
list (if delegated/waiting on information).
● If no (Non-Actionable)
○ Discard
○ Keep it as a reference
○ “Someday Maybe” storage

Organize
● Actionable List
○ What is the intended outcome?
○ What’s the next possible action?
○ If the outcome requires more actions in the future it needs to be
added to the project list.
● Project
○ Improving customer referrals by 25%
○ Creating a deck for a presentation
○ Re-modelling the backyard

Organize
● Time
○ Actions that have a deadline or are time-specific.
● Context. Can be a tool, place or person.
○ In the office.
○ When meeting with Rob from HR.
○ When using the iPad.

Reﬂect
● Weekly review of items
○ Gather and process all your stuff
○ Review your system
○ Update your lists
○ Get clean, current, and complete
● Review short term goals monthly
○ Ensure “train is on the right track”

Engage
● Do it.
● Calendar contains all the things you need to do today.
● Project list tells you things that need to be done to move
projects forward .
● Context list helps you batch items together.
