Job Description

As a member of the Finance team, the Sr. Payroll Manager will oversee payroll processing for over 70 summer camp locations and corporate staff. This role is crucial in ensuring accurate and timely payroll for a diverse workforce, including summer staff, camp directors, and year-round corporate employees. The ideal candidate will have extensive experience with exempt and non-exempt payroll, multi-state payroll compliance, and working with a Professional Employer Organization (PEO).

ACCOUNTABLE FOR

Payroll Processing & Vendor Management

  • Manage and process weekly payroll for 2,000+ staff across multiple states during the summer peak season, ensuring accuracy and compliance.
  • Manage and process bi-weekly payroll for corporate and field leadership teams throughout the year.
  • Accountable to ensure all staff are paid accurately and on time.
  • Collaborate with ADP TotalSource (PEO) to ensure seamless payroll processing and benefits administration.
  • Proactively address and resolve payroll discrepancies and issues.
  • Oversee outsourced technology (ADP) and support team, ensuring all systems function efficiently and effectively.

Compliance & Reporting

  • Ensure payroll compliance across multiple states, adhering to all relevant federal, state, and local regulations.
  • Maintain accurate payroll records, including timesheets, attendance, and employee information.
  • Generate and review payroll reports, providing insights and recommendations to management.
  • Create and monitor key performance indicators (KPIs) to assess and enhance payroll system performance and employee satisfaction.

Process Optimization & Communication

  • Design and disseminate payroll-related resources, detailing program expectations, policies, and standard operating procedures. Topics include but are not limited to payroll schedules, compliance protocols, and payroll system usage.
  • Manage payroll-related communication through our ticketing system, handling up to 1,000 tickets per month during the summer peak.
  • Provide weekly support and training to summer payroll managers, including Area Directors and Camp Directors.
  • Propose, prioritize, and project-manage high-impact payroll system improvements on an ongoing basis, overseeing the testing of new features and processes.
  • Take a hands-on approach to managing and enhancing payroll operations, ensuring high service delivery standards.
  • Utilize knowledge management and collaboration tools to align teams around payroll processes and improvements.
  • Collaborate closely with the People Operations team to ensure alignment and effective communication.

Compensation

We anticipate the total compensation for this Full-Time, exempt position to be 100,000 - 125,000 annual salary. Exact compensation may vary and will be based on multiple factors, including geography and professional experience.

WORK LOCATION

Remote, work-from-home location is possible in the following states: California, Colorado, Illinois, Massachusetts, Texas, North Carolina, New York, or Washington. We are currently able to employ candidates who are based in the states listed.

Employees located in the San Francisco Bay area adhere to a hybrid office and work-from-home policy. Galileo Headquarters is located at 111 Myrtle St, Ste 300, Oakland, CA 94607.

SCHEDULE & TIME COMMITMENT

This is a full-time position, averaging 40 hours per week. While we prioritize work-life balance, there may be times when additional hours are necessary to meet deadlines and ensure the success of our programs. Additionally, HQ staff are expected to visit camp locations from June through August to experience camp first-hand and support our teams on the ground; 10-15% travel may be required for those located outside of a camp territory.

Qualifications

  • A bachelor's degree is preferred in accounting, finance, or human resources, but it is not required.
  • Having worked in summer camps, education, or similar organizations is a plus!
  • 5+ years of payroll management experience, including multi-state payroll.
  • 5+ years experience with both exempt and non-exempt payroll.
  • Proficient with ADP Total Source and managing outside payroll vendors and support
  • Knowledge of federal, state, and local payroll regulations ideally experience managing payroll compliance in these states: California, Illinois, Colorado, and Washington.
  • Effective written and verbal communication skills.
  • Proven ability to manage multiple projects simultaneously.
  • Experience in training and supporting managers on payroll processes.
  • High level of integrity and confidentiality in handling payroll information.
